Quarterly visits

Every refrigeration unit on site inspected. Condenser coil clean. Evaporator coil check. Fan motor inspection. Door seal check. Refrigerant pressure log. Temperature trace review against setpoint. Condensate trap clear. Statutory F-Gas leak check on systems above the threshold.

Documented reporting

Written report after every visit. Includes: visit date, engineer name, every unit inspected, condition status, refrigerant log entry, parts replaced, advisory items raised, recommended remediation. Multi-site portfolios get consolidated reporting per quarter rather than one report per site.

Response SLAs

SLA documented in the PPM agreement. Typical: 4-hour priority response in central London during working hours, 24-hour response Greater London, next working day further afield. 24/7 emergency line included for live failures.

Multi-site coordination

Portfolios of 3 or more sites get coordinated scheduling, batched pricing (10-20% saving on per-site rates), consolidated reporting, and a single point of contact across the contract. The same team rotates across the portfolio so engineers know the kit on every site.

Do you handle parts at trade rates?

Yes. Parts within the PPM scope (filters, gaskets, common consumables) are included in the contract. Larger parts (compressors, controllers, condenser fan motors) are charged at trade rates. We document parts replaced on every PPM visit so the customer has a maintenance history.

Can you take on a PPM contract mid-cycle from another contractor?

Yes. First visit is a discovery audit: refrigerant log review, condition report on every unit, BMS access check, written gap analysis. From there we either continue the existing PPM cycle or quote remediation work first if the kit has been neglected.

Single-site or multi-site PPM?
