This site is operated by Blu Cooling & Red Heating LLP (Companies House LLP OC362655), trading as Blu Cooling & Red Heating. Registered office: 7 Glebe Way, Twickenham TW13 6HJ.

What data we collect
We collect personal data only when you give it to us directly:
- Enquiry form data. Your name, company or property name, phone, email, postcode, service requested and the message text you submit on our contact form.
- Phone and email correspondence. If you call or email us we keep a record of the conversation, your contact details and any quote or job notes.
- Job records. If you become a customer we keep records of work done, addresses serviced, kit installed, refrigerant log entries, CP12 / CP42 records, F-Gas logs and invoices. These are required by Gas Safety Regulations and F-Gas Regulation 517/2014 and are retained for the statutory minimum period (typically 5-10 years depending on the record type).
We do not collect personal data for marketing lists, profiling, advertising or sale to third parties.
How we use your data
We use the data above only to:
- Reply to your enquiry and discuss the work you've described
- Quote and schedule the work if you proceed
- Deliver the work and keep the records required by Gas Safe, F-Gas / REFCOM and Companies House
- Invoice and collect payment
- Respond to safety follow-ups, warranty claims or audit / compliance enquiries
Legal basis (UK GDPR Article 6)
- Contract performance. For active customers, we process data to perform the services contract.
- Legitimate interest. For enquirers, we use minimum-necessary data to reply to your enquiry, which is your reasonable expectation when contacting us.
- Legal obligation. Gas Safety Regulations, F-Gas Regulation 517/2014 and tax law require us to retain certain records.
Who sees your data
- Our engineers and office staff. Only those who need access to deliver the work.
- Statutory bodies. Gas Safe Register, REFCOM and HMRC may require access to specific records under their respective regulatory frameworks.
- Our accountant. For invoice and tax records only.
- Equipment manufacturers. If a warranty claim is raised, we may share serial numbers and fault descriptions with the manufacturer (Daikin, Worcester, Vaillant, etc.).
We do not sell or share your data with marketing third parties.
How long we keep your data
- Unanswered enquiries: deleted after 12 months.
- Quote records that didn't proceed: deleted after 24 months.
- Active customer records: retained while you are a customer plus 7 years after last engagement.
- Statutory records (Gas Safety, F-Gas, tax): retained for the statutory minimum (typically 5-10 years).
Your rights under UK GDPR
You have the right to:
- Access the personal data we hold about you (a "subject access request"). Free of charge.
- Rectify data that is inaccurate.
- Erase your data, subject to our statutory retention obligations.
- Restrict or object to our processing of your data.
- Complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with how we handle your data.

Security
We hold customer records in industry-standard cloud-based business systems (job management, accounting, email). Physical paperwork is stored in a locked office in Twickenham. We do not store payment card details on our systems; card payments are processed by our payment provider (Stripe / SumUp).
International transfers
We do not transfer your personal data outside the UK except where our cloud business systems (including those provided by major US-based vendors) may process data in EU or US data centres under standard contractual clauses or UK adequacy decisions.

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be communicated to active customers by email.
